Installation Guide & Terms of Business.

Thank you for choosing Cooler.AC. We aim to provide a professional service with clear communication, transparent pricing and no hidden surprises. This guide explains what you can expect from us, what we ask from you and the terms that apply to every installation.

By accepting our quotation or placing an order through our website, you agree to these Terms of Business.

1. Quotations & Orders

Our quotations are valid for 7 days unless stated otherwise.

Prices are based on supplier pricing at the date of quotation.

Whilst we make every effort to honour our quotations, product availability is subject to supplier stock levels, which may change without notice.

If your chosen equipment becomes unavailable before we place your order, we will offer you the choice of:

  • waiting for new stock to become available;
  • selecting an equivalent or upgraded product (with any price difference agreed in advance); or
  • cancelling your order and receiving a refund of any monies paid for the unavailable equipment.

During periods of exceptionally high demand, supplier lead times and stock availability may change rapidly. Installation dates cannot be guaranteed until your equipment has been allocated by our supplier.

2. Before We Arrive

Please ensure we have safe and unrestricted access to the property.

Wherever possible, please provide at least 2 metres of clear working space in front of the proposed indoor and outdoor unit locations, together with approximately 500mm clearance to either side.

Please remove valuable, fragile or sentimental items from the work area before we arrive.

We will often require access to hallways or other rooms where possible to enable us to assemble pipe runs with the least joins possible.

Whilst we are happy to move light furniture where practical, we cannot move heavy furniture or accept responsibility for items left within the working area.

If parking restrictions apply, please let us know before the installation date.

3. Planning Permission & Other Consents

Air-conditioning and heat-pump installations may require planning permission or other consent. As a general guide in England, up to one outdoor air-source heat-pump unit may qualify as permitted development at a semi-detached or terraced house, and up to two at a detached house, including any existing units. This is not automatic: restrictions relating to noise, siting, unit size, roofs, listed buildings, conservation areas, Article 4 Directions and other local or property-specific conditions may apply.

It is the Customer’s responsibility to check the planning position and obtain any necessary planning permission, landlord/freeholder approval or other consent before installation. We accept no liability for issues arising where required permissions or consents have not been obtained.

4. Pipework, Trunking & Appearance

Air conditioning systems require refrigerant pipework, electrical cabling and condensate drainage between the indoor and outdoor units.

Where these services cannot be concealed within the building, they will normally be enclosed in decorative trunking.

Our standard trunking colours are:

  • White (internal)
  • Black (external)

Alternative colours such as Anthracite or Brown may be available upon request.

We always aim to install pipework in the neatest and most practical manner whilst maintaining safety, reliability and future serviceability.

If you have any preferences regarding the routing or appearance of the installation, please discuss these with us before or during the installation. Once the relevant work has been completed, the routing and appearance will be deemed accepted.

5. Hidden Pipes & Cables

Whilst every care is taken before drilling, some concealed services cannot reasonably be detected.

Please tell us about any known hidden pipes, cables or other services that are outside recognised electrical safe zones.

Cooler.AC cannot accept responsibility for damage to concealed services that could not reasonably have been identified before drilling.

6. Electrical Installation

Our quotation assumes that your existing electrical installation is safe, compliant and suitable for the equipment being installed.

If we discover that the electrical installation is unsafe or non-compliant, we may suspend commissioning until the issue has been rectified.

Where appropriate, we may complete the physical installation but leave the system electrically isolated and uncommissioned.

In these circumstances the installation will be deemed substantially complete for payment purposes.

Any remedial electrical work required remains the responsibility of the customer.

We accept no responsibility for any person energising, modifying or commissioning the installation without our prior written approval.

7. Condensate Drainage

All indoor units produce condensate water whilst cooling. Where gravity drainage through the trunking is not possible, a condensate pump may be required.

Condensate pumps contain moving mechanical parts and will normally produce some operating noise.

We will always recommend the most suitable drainage solution whilst aiming to minimise visual impact and noise wherever practical.

8. Changes During Installation

Any changes requested after work has commenced may affect both the installation cost and completion date.

Where additional work is required, we will discuss any additional costs with you before proceeding wherever reasonably possible.

9. If Work Is Stopped

If you ask us to stop work after our engineers have arrived on site, we reserve the right to charge for:

  • a minimum of one full day’s labour at our published engineer day rate (currently £400 per engineer per day);
  • materials already installed or ordered;
  • specialist equipment hire;
  • and any other reasonable costs incurred.

If work resumes at a later date, a further attendance charge may also apply.

10. Waste Removal

We are a Licenced Waste Carrier, No. CBDU649161. Unless specifically included within your quotation or order, waste removal is not included and the Customer remains responsible for the disposal of all waste arising from the Works.

Where Cooler.AC agrees to remove waste from site, whether as an included service or as a convenience to the Customer, Cooler.AC acts solely as the Customer’s agent for transport. Unless otherwise agreed in writing, any disposal charges will be payable by the Customer.

Most installation waste consists of recyclable cardboard, polystyrene packaging and pipe offcuts. Where we remove waste, we always dispose of it lawfully and aim to recycle as much of it as reasonably practicable.

11. Completion & Handover

Once the installation has been commissioned, we will demonstrate the operation of the system wherever practical.

You will be shown the basic operation of the remote control or app (where applicable), together with any maintenance requirements such as cleaning filters.

Our engineers will demonstrate the basic operation of your system and, where practicable, assist with Wi-Fi and app setup.

As home network configuration is outside our control, successful connection cannot be guaranteed.

We will provide the manufacturer’s user manual for details of advanced features.

12. Payment

Payment is due in accordance with your accepted quotation, website order or any other agreed payment schedule.

Unless otherwise agreed in writing, all equipment supplied remains the property of Cooler.AC until paid for in full.

Late payments may incur interest and reasonable recovery costs in accordance with applicable legislation.

13. Warranty & Servicing

Your equipment is covered by the manufacturer’s warranty, subject to their terms and conditions. Most manufacturers require annual servicing by a suitably qualified engineer to maintain warranty cover.

A standard Cooler.AC annual service typically includes:

  • Cleaning filters
  • Inspecting indoor and outdoor coils
  • Checking electrical connections
  • Inspecting refrigerant pipework
  • Checking condensate drains and pumps
  • Verifying operating temperatures
  • Performance testing
  • General safety inspection

We recommend arranging your first annual service approximately 11 months after installation.

14. Our Liability

Nothing within these Terms excludes or limits any rights you have under the Consumer Rights Act 2015 or any other applicable legislation.

Subject to those statutory rights, Cooler.AC shall not be liable for indirect or consequential losses arising from delays, supplier shortages, power failures, extreme weather or events outside our reasonable control.

15. Privacy

We may retain installation photographs, commissioning records and related documentation for warranty, technical support, training and quality assurance purposes.

Marketing photographs will only be used with your permission.

Our Privacy Policy explains how we process and protect your personal information, and our Cookie Policy lists every cookie this website sets.

16. Questions or Concerns

If something doesn’t seem right, please let us know as soon as possible.

We take pride in our workmanship and will always aim to resolve genuine issues promptly and fairly.

17. Who you are contracting with

Cooler.AC is the trading name and website of Cooler Group Ltd, registered in England & Wales, company number 15252988. Registered office: Unit 5, Kingsditch Trading Estate, Cheltenham GL51 9NX. References to “we”, “us” and “Cooler.AC” in these Terms mean Cooler Group Ltd.

18. Customer Acknowledgement
