This explains what personal information Cooler.AC collects, why we need it, who we share it with and what you can ask us to do about it.
It sits alongside our Cookie Policy and our Terms of Business.

1. Who we are
Cooler Group Ltd, trading as Cooler.AC (“we”, “us”), supplies and installs air conditioning across the UK. We are the data controller for the personal information described in this policy.

2. What we collect
Information you give us
- Your name, email address, telephone number and postcode.
- The answers you give the online quote builder — room sizes and types, property type, how much sun the room gets, where the outdoor unit would go, pipe run, electrical supply and similar.
- The installation address and the date you choose, if you book.
- Photographs of your property that you upload so we can check the job before we arrive.
- Anything you type into our chat assistant, or send us by email or phone.
Information we collect automatically
- Your IP address and browser user-agent, recorded with an enquiry.
- How you arrived (referrer and any campaign tags such as
utm_source), so we can tell which advertising actually works. - Usage information from cookies and similar technologies, but only the optional ones you have agreed to. See our Cookie Policy.
Payment information
If you pay online, your card details go directly to Stripe and are processed on their systems. We never see or store your card number. We receive confirmation of the amount, the outcome and a payment reference.
What we do not collect
We do not ask for special category data (such as health information), and we do not buy personal data from third parties or run profiling that produces legal effects.
3. Why we use it, and our lawful basis

4. Who we share it with
We do not sell your personal information. We use the following service providers, who process it only on our instructions:

We may also share information with our own installation engineers, and with professional advisers, insurers or authorities where the law requires it.
Transfers outside the UK
Some of those providers are based in, or store data in, the United States. Where information leaves the UK we rely on the UK International Data Transfer Addendum, the EU Standard Contractual Clauses, or the UK extension to the EU–US Data Privacy Framework, together with the provider's own safeguards.
5. How long we keep it

We review what we hold periodically and delete what we no longer need. You can ask us to delete your information sooner — see below.
6. Marketing
We only send marketing emails where you have agreed, or where you are an existing customer and the email is about similar services. Every marketing email has an unsubscribe link, and we act on it immediately.
Unsubscribing from marketing does not stop the emails we have to send about a job you have booked — your quote, booking confirmation and installation details.
7. Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- ask us to delete information we no longer have a good reason to keep;
- ask us to restrict how we use it while a concern is resolved;
- receive certain information in a portable format, or have it sent to another provider;
- object to processing we carry out on the basis of legitimate interests;
- withdraw consent at any time, including for cookies and marketing;
- not be subject to a decision based solely on automated processing that produces legal effects concerning you.
Automated decisions
Our quote builder prices your job automatically from the answers you give it. That is not a decision with legal effects — it is a price you are free to take or leave, a person reviews your photographs before we install anything, and you can always ask us to price the job by hand instead.
Checking who you are
So we don't hand your information to somebody else, we may ask you to confirm your identity before we act on a request — normally the name, postcode and email address you gave us. If someone is asking on your behalf, we will check with you first.
Email hello@cooler.ac and we will respond within one month. There is no charge.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.
If you live outside the UK you can complain to the data protection regulator where you live instead. You may also seek a remedy through the courts.
8. Cookies
We set only strictly necessary cookies unless you tell us otherwise. Analytics and advertising cookies are off until you agree, and you can change your mind at any time using the “Cookie settings” link in the footer. Our Cookie Policy lists every cookie, what it does and how long it lasts.
9. Security
We take the following steps to keep your information safe:
- The site is served over HTTPS, and admin access sits behind a login.
- Your records live in managed cloud systems that hold recognised security certifications — not on laptops or memory sticks.
- Access is limited to the people who need it to do their job.
- Accounts are password protected, with two-factor authentication where it is offered.
- We work without paper wherever we can. Anything we do receive on paper is scanned and the paper copy destroyed, unless we are required to keep it.
No system is perfectly secure, but we take the protection of your information seriously and will tell you and the ICO if a breach is likely to put you at risk.
10. Children
Our services are sold to adults. We do not knowingly collect information about anyone under 18. If you believe a child has given us their details, contact us and we will delete them.
11. Changes to this policy
We update this policy when what we do changes. The date at the top shows when it last changed. If a change materially affects you, we will tell you.
